Contract: Fixed Term - 12 months
Salary: £17,000 per annum

Working in a team in a busy office environment, you will undertake a variety of administrative tasks to support our Court Fee Earners. You will learn how to use our bespoke IT systems and will work towards SCQF Level 6 Business and Administration.

What might a day in this role look like?
 
You will support Court Fee Earners by:

  • Maintaining diary appointments
  • Making travel and meeting arrangements
  • Assisting with the production and processing of court paperwork
  • Management of rent arrears case files and instruction of cases
  • Providing general administrative support within the department.
 
Key Responsibilities:

Produce documents (Word, Excel and PowerPoint via BigHand, verbal requests and hand-written drafts) maximising the use of available IT (primarily LawWare document management system), ensuring they are signed by a partner by pre-determined deadlines:  

  • in the style and layout required by their authors
  • ensuring enclosures are attached
  • time recording in accordance with instructions.
  • ensuring file copies are retained in relevant files.
 
Work with the department’s template documents, producing papers for:

  • Simple Procedure cases
  • Summary Cause cases
  • Demand letters
  • Diligence requests (e.g. tracing, arrestments).
 
Gather court instructions for court hearings on a rota and, where necessary, prepare out of town court instructions for those days.  

Report court outcome to clients ensuring dates are diarised and matter is fee’d appropriately and local agent’s fees are paid where appropriate.  

Complete the monthly court invoicing for Sheriff Court and Court of Session payments for the Court department.  

Fee third party outlays (e.g. Sheriff Officer’s fees) appropriately and ensure payment of those fees is made timeously.  

Undertake file reviews in accordance with departmental procedures.  

Provide additional administrative/secretarial support as required throughout the firm. Routine tasks are likely to include co-ordinating the outgoing (external) mail and file archiving.  

Liaise with the Cash Room over all finance related matters where necessary.  

Adhere to stated policies and procedures as per the firm’s employee handbook.

What will I learn?

  • You will work towards SCQF Level 6 Business and Administration.
  • You will learn how to work both individually and as a team in a busy office environment, how to communicate, and customer service skills.
  • You will work with our bespoke IT systems and learn how to use correct procedures when liaising with our customer base.
 
What qualifications/skills are required?

  • 4 National 5s including English
  • Good IT and communication skills
  • Familiar with Word and Excel.
