Contract: Fixed Term - 12 months
Salary: £14,723 per annum
Employer: Medical Practice based in the north-east of Edinburgh

Working in a small team, you will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. You will work towards SCQF Level 6 in Business and Administration.

What might a day in this role look like?
 
You will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required.
 
You will act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. You will also support the administration team with non-NHS requests, secretarial duties, document management and recalls.
 
The following are the core responsibilities:
 
  • Maintaining and monitoring the practice appointment system
  • Process requests for appointments
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Generate repeat prescriptions and process all prescriptions requests in accordance with practice protocols
  • Action all incoming e-mails
  • Signpost patients to the correct service
  • Process incoming and outgoing mail
  • Initiating contact with and responding to, requests from patients, team members and external agencies
  • Data entry of new and temporary registrations and relevant patient information as required
    Input data into the patient’s healthcare records as necessary
  • Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
  • Type and process referrals to external agencies such as secondary care using Sci-Gateway
  • Process requests for information i.e. SAR, insurance / solicitors’ letters/non-NHS letters
  • Manage all queries (including administrative queries) as necessary in an efficient manner
  • Carry out EMIS searches as requested.
 
In addition to the primary responsibilities, you may be requested to:
 
  • Partake in audit
  • Support administrative and reception staff, providing cover during staff absences
  • Complete opening and closing procedures in accordance with the duty rota
  • Ordering and monitoring of stationery supplies.
 
There may be on occasion a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
 
What will I learn?
 
  • You will work towards SCQF Level 6 Business and Administration.
  • You will learn how to communicate in a busy office environment, customer service skills and how to use our bespoke IT systems.
  • You will also learn about our products and services and how to work efficiently and manage your workload.
 
What qualifications/skills are required?
 
  • National 5 English is essential
  • Experience of working with the general public
  • Excellent communication skills (written and oral)
