Medical Receptionist/Administrator - Modern Apprenticeship - 18007

Contract: Fixed Term - 12 months
Salary: £10,140 per annum
Employer: GP Practice based in the Abbeyhill area of Edinburgh

You will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. You will work towards SCQF Level 6 Business and Administration.

Environment:
 
You will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. There is potential for a permanent contract on completion of the Modern Apprenticeship.
 
What might a day in this role look like?
 
The following are the core responsibilities:
 
  • Greet and direct patients
  • Patient registration
  • Processing of information (electronic and hard copy) and assisting patients
  • Act as the central point of contact for patients
  • Maintain and monitor the appointment system
  • Process requests for appointments
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Generate repeat prescriptions and process all prescriptions requests in accordance with practice protocols
  • Action all incoming emails
  • Signpost patients to the correct service
  • Process incoming and outgoing mail
  • Initiate contact with and respond to requests from patients, team members and external agencies
  • Data entry of new and temporary registrations and relevant patient information as required
  • Type and process referrals to external agencies such as secondary care using Sci-Gateway
  • Read code data on EMIS PCS and be a member of the document management/coding team
  • Help to maintain and improve the chronic disease management recall system
  • Maintain a clean, tidy, effective working area at all times
  • Monitor and maintain the reception area and notice boards
  • Distribution of information, messages and enquiries for the clinical team
  • Liaise with multidisciplinary team members and external agencies such as secondary care and community service providers
  • Support the administration team with non-NHS requests, secretarial duties, document management and recalls
  • Support clinical staff with general tasks as requested.
 
What will I learn?
 
The successful candidate will be enrolled onto SCQF Level 6 Business and Administration.
 
What qualifications/skills are required?
 
  • Minimum National 5 or equivalent in English / Maths
  • A Foundation Apprenticeship in a related field
  • Excellent communication skills (written and oral) and interpersonal skills
  • Strong IT skills, particularly in the use of Office and Outlook
  • Clear, polite telephone manner
  • Effective time management
  • Ability to work as a team member and autonomously
  • Problem solving and analytical skills
  • Ability to follow policies and procedures
  • Polite and confident
  • Flexible and cooperative
  • High levels of integrity and loyalty
  • Sensitive and empathetic in distressing situations
  • Ability to work under pressure.
